Provides leadership and direction for the business office in the absence of the Director. Supervises and manages the operations of the department to include financial services, billing and receivables, and cashiering functions in accordance with established university goals and objectives. Additionally, oversees student account collections, reconciliation, maintains schedules and provide administrative support as needed.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provide guidance to department staff in handling difficult or complex problems or in resolving escalated complaints or disputes
  • Propose solutions on complex financial problems
  • Monitor and control all collection activity; includes track and maintain student accounts to ensure prompt payment of outstanding balances; Update appropriate tracking systems for timely billing and collections
  • Oversee invoicing and student refunds
  • Review and audit account reconciliations
  • Develop and recommend policies, procedures and guidelines
  • Participates in the hiring and training of business associate staff and student workers.
  • As directed, supervise staff and resolve staff conflictsAs directed, manage personnel activities including coordination of annual reviews and approves time sheets and leave requests
  • Bill and collect payments from third party agencies for student tuition and fees
  • Perform student account maintenance activities to include account reviews, verify account clearances, apply payments, and perform account adjustments as deemed necessary
  • Interact with internal and external auditors and participate in auditing projects
  • Prepare, review and analyze accounts receivable reports for discrepancies
  • Assist in training employees on an on-going basis
  • Work extended hours and weekends when deemed necessary
  • Perform other duties and responsibilities as assigned.

 

EDUCATION: Bachelor's Degree preferred or higher required.

 

EXPERIENCE: Must have a thorough understanding of all Business Office terminology, activities, policies and procedures. Able to use knowledge and good judgment to complete tasks that varies in nature and complexity. Must understand sequences and interconnection with other processes. Expected to resolve problems in recurring assignments in accordance with training and experience. Ability to maintain confidentiality for all business transactions.

 

QUALIFICATIONS:

  • Two or more years supervisory experience
  • Two or more years' experience in accounts receivable environment
  • Two or more years' experience in a customer service related environment
  • Two or more years' experience working in a higher education environment (An equivalent combination of education and experience may be considered)
  • Experience with Banner System preferred
  • Knowledge of financial aid terminology and the processes for awarding financial aid to student's
  • Proficient with Microsoft Office Products including Excel and Word is required
  • Knowledge of account receivable, cashiering, and billing methodologies and practices
  • Ability to effectively organize and establish priorities.
  • Excellent organizational, delegation, team building and communication skills to effectively and professionally communicate with students and parents regarding student accounts required
  • Ability to maintain concentration and attention to detail while working in a high volume production environment accustomed to meeting deadlines and goals
  • Excellent negotiation and problem-solving skills.
