This position coordinates and maintains all incoming application data and materials for admission to St. Mary's University at the undergraduate and graduate levels.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned

  • Assist with processing of applications for undergraduate and graduate applications. Duties include data entry, researching, scanning, filing, and preparing files for other offices
  • Perform quality control checks on applications to identify inconsistencies
  • Process applications for inter-high school dual credit, visiting/exchange students, combo-undergraduate/graduate students in Slate and Banner
  • Manage deposit processing in Slate and Banner and collaborate with business office to ensure proper posting
  • Collaborate with other offices on campus to collect admission information pertaining to current students
  • Produce outbound mailings to prospective students as needed. Oversee printing, mailing, and posting of all outgoing mail for decision and committed students
  • Utilize reports to ensure data integrity and data standards are met with data entry
  • Maintain knowledge of the university's tools and systems, including Banner, and Slate; Learn new systems and tools as needed
  • Assist in the accurate and timely processing of a high volume of material items
  • Serve as back up to other operation team members when needed
  • Other duties as assigned

 

EDUCATION: Associate's Degree required; or a combination of 3-5 year of experience plus education may be substituted.

 

QUALIFICATIONS:

  • 3+ years office work experience, familiarity with computer support tasks (data entry)
  • Proficiency with the Microsoft Office Suite, particularly Word and Excel is required
  • Good oral and written communication skills
  • The candidate must have a strong interpersonal skills necessary for interacting with colleagues and have the ability to work in a fast-paced environment
  • Willingness to undertake new projects, work with minimal supervision and be a team player
  • Ability to prioritize and handle multiple deadlines and projects
  • The candidate must pass a background check
  • Skills testing will be administered as required by the Office of Human Resources
