The Coordinator is responsible for the general administration, processing, review, and reconciliation of federal, state, institutional, and private financial aid programs including private loans and awards. This position provides limited counseling to current and prospective students and disseminates information to various constituencies.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversees the technical and operations functions of student aid processing and data loads in our student information system.
  • Coordinates the process of setting up the student information system each year for awarding of financial aid for prospective and returning students; prepares financial aid packages and reviews packages completed by others for undergraduate and graduate students according to federal, state and institutional guidelines.
  • Oversees and participates in the federal Return to Title IV process and reconciliation of all federal student aid programs.
  • Works with department leadership to determine functional and non-functional system requirements, scope, and project plans.
  • Responsible for state reporting, and assist in institutional reporting for other departments
  • Maintains current knowledge base of federal and state regulations governing aid programs to ensure compliance
  • Assists with management and administration of all financial aid programs for students, reports and program reviews, compliance with college and funding agency requirements, processing of financial aid disbursement authorizations, maintenance of financial aid database, and reconciliation of financial aid data.
  • Ensures the effective operation of the financial aid office by utilizing knowledge and expertise in office procedures and systems management and applying that knowledge to the operation of the office.
  • Participates in the strategic planning process and makes recommendations for enhancing departmental operations, including the establishment and implementation of short and long-term goals
  • Advises students and other interested parties in aspects of financial aid application processing
  • Interacts with faculty, administration and staff to provide and exchange information and to enhance the counseling and advising of students
  • Assists in the recruitment and retention efforts of the University
  • Performs other duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree from an accredited college/university, ideal.
  • 3 or more years professional experience in financial aid or similar experience required.
  • Higher education experience, preferred.
  • Must clear and maintain a favorable background investigation and clearance.
  • Must have valid driver's license, motor vehicle liability insurance, and personal injury insurance, or have a self-reliant source of transportation to conduct business on a daily basis
  • Must have the ability to demonstrate intermediate to advanced skills in MS Office (Word, Excel, Access, Publisher, Outlook, Teams, and Zoom or similar platforms); familiarity with financial systems (Banner), reporting tools (Argos), document management solutions (BDM), Slate CRM or similar programs strongly preferred
  • Must be able to work flexible hours, including evenings, and weekends.
  • Must have excellent verbal and written communication skills; strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; ability to work effectively with student and parent;
  • Must have high ethical standards and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; display solid problem solving and interpersonal skills; work well independently and as part of a team; professional demeanor, appearance and strong work ethic required
  • Must have a high attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines.
  • Bilingual Preferred (English/Spanish with the ability to understand and to make one's self understood to Spanish speaking individuals)
  • Knowledge of federal, state, and university scholarship & financial aid compliance laws, guidelines, and procedur
  • Display a strong commitment to the mission of the institution, and be able to articulate the value of a Marianist, Catholic education.

PHYSICAL DEMANDS:

  • Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business.
  • While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 20 pounds.
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
  • Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner.
  • Constantly operates a computer and other office productivity machinery.
