Reporting to the Director of Undergraduate Admission, the Associate Director of Undergraduate Admission is responsible for assisting in the development and implementation of all aspects of the undergraduate student admission, recruitment, and enrollment processes at St. Mary's University. She/he is a strong supporter of professional development for admission staff and ensures that all personnel are well-trained and provides outstanding customer service. The Associate Director effectively leverages technology to support all recruitment activities, empowers staff to embrace a culture of data informed decision making and serves as a mentor for frontline recruitment team members.  She/he is responsible for managing a recruitment territory including collaboration on the implementation of a comprehensive recruitment plan for prospective students, families, counselors, community college advisers and other constituents. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist in development, implementation, execution and evaluation of recruitment initiatives targeting specific geographical markets both on campus and off campus for undergraduate first-year and transfer students in order to meet enrollment goals.
  • Support the efforts of the Director of Undergraduate Admission in the development, evaluation, maintenance and implementation of the undergraduate Strategic Enrollment Management Plan.  
  • Supervises front line recruitment team members and is responsible for the oversight and implementation of the annual recruitment plan.
  • Evaluate and execute admission decisions on undergraduate applicant files.
  • Conduct interviews with prospective students and parents, providing accurate information regarding the institution's current admission standards, academic and related programs, student life, cost, and financial aid.
  • Serve on University committees/councils and as liaison to designated departments/offices/programs.
  • Competent functional user of all database systems related to the Office of Admission. This includes systems such as CRMs and additional software used in the recruitment of qualified prospective students.
  • Develop and monitor statistical reports to enhance recruitment strategies, yield management, forecasting, and operational efficiency.
  • Work closely with the Director of Undergraduate Admission and Vice Provost for Enrollment Management to stay abreast of changes in the enrollment and admission industry.
  • Travel on behalf of the University for recruitment and other college related events.
  • Additional duties as assigned.

Transfer Strategy and Recruitment

  • Leverage best practices in transfer student recruitment to include 2-year and 4-year college student enrollment to drive development and implementation of the Transfer Strategic Enrollment Management (TSEM) Plan in concert with the Director of Undergraduate Admission.  
  • Collaborate with the Office of the Registrar, Office of Academic Advising and other key areas on campus to enhance the transfer student evaluation process.
  • Collaborate with the Director of Undergraduate Admission on the advancement of transfer partnerships and initiatives at targeted community colleges regionally. Serve as a collaborative partner with the campus visit team to develop and execute on and off campus recruitment events targeted at prospective transfer students in an effort to enhance application completion and yield.

 

EDUCATION: Master's degree preferred. Bachelor's degree from an accredited four-year college/university required.

 

EXPERIENCE:

  • Minimum 5-7 years admission/enrollment management background with progressive experience.
  • Experience in the implementation and evaluation of university recruitment and operational processes.

 

 

QUALIFICATIONS:

  • Strong and inspirational communication (verbal and written) skills, vibrant personality, attention to detail, and strong problem solving skills are essential.
  • Willingness to acquire an understanding of the St. Mary's commitment to excellence in education, diversity of the student body, social service, and the liberal arts and sciences traditions.
  • Knowledge of the St. Mary's culture and ability to represent and communicate the university mission to prospective students and families.
  • Ability to develop congenial and productive working relationships with St. Mary's University administrators, faculty, staff, and students.

  • Possess high energy, attention to detail, and the ability to organize effectively.
  • A valid driver's license and must be able to work extended hours or weekends during peak times and for special programs, project and events.
  • Technolutions Slate CRM, Banner, and Transfer Equivalency software experience preferred. Proficient in Microsoft Outlook, Word and Excel.

 

PHYSICAL DEMANDS: While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 40 pounds. Must be a licensed driver of an automobile with an acceptable driving record as determined by St. Mary's University. Must be able and willing to travel long distances if needed, by airplane and by automobile.
